International Cooperative Alliance: Data Protection Policy

What information do we collect about you?

We collect information about you when you fill out a web contact form, register to attend a meeting or conference, fill in a survey, ask us to send you information, or when we do research. The information we collect depends on the purpose and/or what you provided to us but does not go beyond name, prefix, title, country, personal address if not connected to an organisation, event attendance, gender, and age if necessary to get a reduced registration fee or to join the Youth Network.

How will we use the information about you?

The International Cooperative Alliance does not sell any contact data.
Your personal information will be used with your explicit consent, to deliver our newsletters, important press releases, invitations to events, campaigns, and may be used to contact you for research, statistical information and networking within the co-operative movement. Your personal data may be used to analyse event participation trends and statistics such as the percentage of women, youth, and regional representation in our conference(s) and Assemblies. Individual contacts will be kept in our database during their subscription to our newsletter; member contacts will be kept during the period of membership and thereafter only kept following the consent protocol.
The International Cooperative Alliance structures including the Regional Offices, Sectoral Organisations and Thematic Committees also use and have access to the database where your personal information is stored and used.

Marketing

The only marketing contacts you may receive is to promote the domain .coop.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. Contacts (organisations and individuals) can request to amend and view their data by emailing dataprotection@ica.coop. You can also ask to use your right to data portability, to be removed from our database (i.e. unsubscribe) or to file a complaint by emailing dataprotection@ica.coop. Requests will be processed as soon as possible given limited staff capacity.
We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
Any access to and editing of personal information is limited to staff and coordinators of International Co-operative Alliance structures. Partners may be given access if necessary for them to do contracted work and will be required to sign a confidentiality agreement. Current partners with access to the database include the DotCoop enterprises team for the .coop domain and the cooperative marque (www.identity.coop and www.domains.coop), Euricse for the World Cooperative Monitor (www.monitor.coop) and www.stories.coop. We have the option for certain data to be made confidential to certain staff.

Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity. You can set your browser not to accept cookies and the above websites tell you how to remove cookies from your browser. However, in a few cases, some of our website features may not function as a result.

We keep your information secure

The Alliance contact database is secure and password protected. All staff and contractors with access are provided with data privacy and protection training.

Changes to our privacy policy

We keep our privacy policy under regular review and will update this webpage as necessary. The last update was made on 18 May 2018.
